Reserving a Room

Changes coming to EMS soon

  • An enhancement to EMS has been configured to allow automatic creation and deactivation of employee user accounts in EMS.
  • Employee accounts will automatically be assigned to the EMS group that corresponds to their primary department.  Any other group membership will not be affected by this change.

 Why are we doing this?

  • New employees will have faster access to EMS to make room reservations
  • Less manual work required to keep accounts and group memberships up to date

How will this affect employees using EMS?

You will be assigned automatically to the EMS group that corresponds to your primary department in Colleague.

You will recognize EMS groups that correspond to an HR department (Colleague) by the '[HRTK] label at the end of the group's name (e.g., "Admissions [HRTK]", "Student Life [HRTK]", "Biology [HRTK]").

 Any other groups that you may belong to in EMS will remain unaffected by this change.

 Some employees will be assigned to a different group than they were before:

  • Adjunct faculty will be assigned to the "Dean's Office" group in EMS
  • Courtesy appointments will be assigned to the "Courtesy Appointment" group in EMS

If you need to make a reservation on behalf of a group you are not assigned to, you can search for the group when you fill out your reservation request.  For instructions, see the "How do I make a reservation for a group I am not a member of" FAQ on the Dining Services website.

  What does HRTK mean?

HRTK stands for "HR Toolkit", which is the vendor's name for the feature of EMS that automates the creation and deactivation of accounts.
