Managing voicemail for Teams phone

This article will show you how to access your voicemail and how to change your voicemail greeting for Teams phone. 

 

Accessing voicemail

You can access your voicemail through email, the Microsoft Teams app on your computer or mobile device.

Access voicemail via email

When you receive a voicemail, you’ll get an email notification.

  • The sender field will show the phone number of the caller.
  • The email body may include a transcription of the voicemail (if the audio is clear enough).
  • The voicemail recording is included as an attachment.

To listen to the message, open the attachment.

Access voicemail via Microsoft Teams on your computer

  • Open Microsoft Teams
  • On the left side menu, click Calls. 
  • Click Voicemail. 
  • Select a message from your list.
  • Choose one of the following:
    • Click Play to listen to the message
    • Read the transcription (if available)

Access voicemail via Microsoft Teams on your mobile device 

  • Open the Microsoft Teams app. 
  • Tap the ... More button at the bottom of the screen.
  • Tap Calls.
  • Tap the Voicemail button in the top-right corner.
  • Select a voicemail from your list.
  • Choose one of the following:
    • Tap Play to listen
    • Read the transcription (if available)

Changing voicemail for Teams phone

This article explains how to set up or change your voicemail greeting for your Teams phone. You can update your greeting using either your computer or mobile device.

Change your voicemail via your computer

  • Open the Microsoft Teams app
  • In the top right corner of the app, click the  Options (...) menu. 
  • Click Settings. 
  • In the left side menu, click Calls.
  • Under Manage voicemail, choose one of the following:
    • Record a greeting to record a message
    • Edit custom greeting to type a message that will be played to callers
  • Tip: Make sure your preferred option is selected under “Choose what happens when the caller is redirected to voicemail.”

Change your voicemail via your mobile device

Note: Updating your voicemail in Microsoft Teams only affects your Teams phone line. It does not change your cell phone’s voicemail greeting.

  1. Open the Microsoft Teams app on your mobile device.
  2. Tap your profile picture (or initials) in the top-left corner.
  3. Tap Settings.
  4. Tap Calling.
  5. Tap Change voicemail greeting.
  6. Follow the prompts when Teams calls you to record your message.
