This is a list of questions regarding some more advanced editing topics. For a refresh on editing basics, check out the Web Editor Basics Page and training video.

Staff Listings and Individual Profile Pages

Staff Listing Page

The Staff Listing page is a special page that each Group has to list the members of their departments. To add a new member to the list, click on the Edit button then scroll down to the Profiles section and start typing the new name in the empty text box. A dropdown will appear with all profiles that match the name you're typing. Find the one you want in the list and click on it. 

If a name does not appear in the list, it means the Profile has not been created yet or it has been unpublished. Profiles for new employees typically get created within the first week of their employment, once their accounts have been set up. If they have been with the university for longer than a week please reach out to website@stlawu.edu with the issue and we will help get the Profile created. 

To remove someone from the Profile list, just delete their name from the text box and Save the page.

Individual Profile Pages

As an editor, you will have access to edit any Profile that belongs to your Group. You can find a Profile to edit through your Group's Node List or by clicking on a person in your Staff Listing page to go to their Profile page. 

Profiles are created based on how a person is listed with Human Resources. Sometimes, the values sent to the website by HR do not match a person's actual title or department. In these cases, it is best to work with HR to resolve the discrepancies. Once things are updated on their end, the website should reflect the new changes.

In some cases, employees shift departments or roles within the university. It may take some time for the HR side of things to update, in which case, you can override some of the values in the Profile in the meantime to reflect the new changes. You will see options for "Override" fields and checkboxes to "Hide Official" fields from the profile which will allow you to adjust the listed roles and departments on the Profile. 

It is important to note, that using the Overrides mentioned above is a manual process that does not get undone by updates on HR's side of things. If a Profile is listing an incorrect role or department but HR has the correct version on their end, double check that the website Profile isn't overriding those Official fields with incorrect information. 

Removing Profiles from the Main Directory

To remove a Profile from the Main Directory,  save it as "Archived, no published version". That will completely remove it from the Main Directory as well as the website Search Results.

Embedding a Livestream on a Webpage

Currently, to embed a livestream on a webpage, you need admin level permissions. If you'd like to embed a livestream please email website@stlawu.edu with the embed code and a link to the page you wish to place it on. 

How to Find a Document

When working with existing Documents on the website, it is sometimes difficult to find the node to replace the PDF as they do not act like normal webpages with the brown buttons in the lower right. To find a Document node to edit, you need to search for it in your Group's Node List (navigate to Groups then the Nodes button) using the filters available to limit the list to just Documents and by the title of the Document.  

If you do not know the title of the Document node, you can use the URL from the link to the document to figure it out. For example, if your document has the URL https://www.stlawu.edu/documents/syllabus-map-printing we just take the end of the link and remove the hyphens. That gives us Syllabus Map Printing as a title which is pretty close to the actual node title of Syllabus Map for Printing and should be a good start when searching our node list for the Document.

If you search your Group's Node List and still cannot locate the document node, it means that the document was not correctly created within the Group or it belongs to a different Group. In such a case, you can go to to Content tab in your top bar and filter that list on Documents and your specific title. Once you find the Document, copy the URL from that Content page and send it to website@stlawu.edu with a request to have the Document added to your Group (please specify which exact document and Group name). An admin will add the Document to your group to make things easier in the future. 

If a Document is not part of your Group and you did not create it, you will not be able to edit it. So you might find the correct Document through the Content tab but may still not be able to edit it until an admin is able to add it to your Group.

Removing a Document from the Website

To remove a document completely, you'll need to send a request to website@stlawu.edu. As an editor you have the permissions to archive web content that belongs to your Group but Documents act a little differently so an admin will be needed to fully remove and disable the link. 

In your request, please include a link to the Document edit form or your Group's Node list with the filters on to limit the list to the Document in question so the admin does not need to go searching around for the correct Document.

Removing a Document will break any links on webpages pointing to that Document. 

How to Remove a Page from Google Search

We do not control Google Search Results so there are limited options.

  • Make sure your page is set to Archived or has been completely removed by an admin. This will make any Google Results lead to a 404 page so users cannot access it anymore. Once it goes to a 404, Google should remove the result the next time it refreshes the stored cache of the university website.
  • When in Google Search, you can use the 3 vertical dots next to a result to request the result be removed. Choose the "It's outdated and I want to request a refresh" option and follow the instructions for making the request with Google. 

Please note that Google may take up to a few weeks to see results change, depending on the timing of their refreshes and when requests go in.
