Publicity Planning
The University is proud of your events, accomplishments, activities and publications and we want to share the news. Here's how we do that:
Publicity Services
Community and Employee Relations staff (Macreena Doyle, Vilas 113, x5587)
- Contact and coordination with news media
- Writing and distribution of news
releases to the news media and on the web
- Writing and distribution of news releases to
students' hometown papers
- Producing stories for the NetNews
section of the University web site
- Producing the weekly News Digest
- Answering questions from the news media
- Responding to requests for expert sources made
through ProfNet, an electronic mail list, and other sources
- Editing and distribution of
opinion pieces from faculty and students
- News photography
Publicity Planning
Let our office know about events at least two weeks in advance. In addition
to the date, time and location of the event, background information on
the speaker, film or discussion participants is necessary. If a press kit
is available, and it includes a photograph, that will be helpful as well. We prefer 300 dpi digital images.
Photography Requests
Tara Freeman, our University photographer, takes requests and assignments for projects related to the communications objectives of the University. She shoots images for news release in advance of events, and for use in print and electronic media that are part of the communications program.

Event Planning
We manage the University's Master Calendar and we can advise on events. For more information on Events Planing, visit Event Planning Guide.
Step I:
Room Reservations
Before beginning any event planning for an on-campus event, you are required to have a confirmed room reservation. Reservations can be made through the room reservations clerk at extension 5996 or email roomres@stlawu.edu.
Step 2:
Event Logistics
When making preliminary arrangements, please complete the Event Request Form and provide the following information. Please refer to the university's Catering Policy to assist with planning your event.
- Name of Group
- Day and Date of function and RSVP Dates
- Beginning and End Times
- Room Location
- Contact Person
- Your Telephone Number
- Type of Service Required
- Department and Budget Code to be charged
- Number of Guests Expected at Event
- Budget Parameters
- Programming Details
- Special Arrangement Requirements; head table, gift table, name tag table, AV/Media needs, handicapped accessibility
- Weather; is a rain site required?
