Key Control Policy

Purpose
The purpose of the Key Control Policy is to protect building occupants, property and related equipment.

Scope
This policy applies to students, faculty, staff, visitors, and contractors working for the University and applies to all University owned, leased, or otherwise occupied areas by St. Lawrence University.

Duplication
All keys referred to in this policy are the property of St. Lawrence University and are not to be duplicated by anyone other than the Facilities Operations (FO) department.  Duplication of a key, or the possession of an unauthorized duplicate, may result in appropriate disciplinary action.

Key Retrieval
Upon separation of employment and/or student status, all keys must be immediately returned to the FO department. The employee may have their final paycheck withheld if they do not return their key(s) prior to leaving the University.

Forms and Procedures
The Key Request Form must be completely filled out and all appropriate approvals affixed before FO will issue a key.

Enforcement
The policy and enforcement are the responsibility of the FO department and are also implemented through FO.  The FO department shall have the responsibility to ensure that key requests and all appropriate authorizations (department chair, dean or director for the area and/or building) have been obtained prior to issuing keys.  The FO department shall implement and maintain the security of the Master Key System used by campus departments.

Notification
Whenever a building or subset of a building is rekeyed, the following people shall be notified in writing by the FO department at least 24 hours in advance:

Building Occupants, Dean or Chair of the Department, Director of Facilities Operations, Director of Residence Life, Security, and Facilities Managers.
