Contact Sheets and Payroll Procedures

Contact Sheets

The Standard Contact Sheet is a combination of both the paper contact sheet and e-time sheet many of you have submitted before. Here’s the new process:

• The tutee will, with your help, sign onto a non-public advising page to access the form
• You will fill out the form together and the tutee will submit the form
• You will enter your hours in Datatel (SLU Portal) before the end of the pay period

Here are the fields on the Standard Contact Sheet:

• Tutor Name
• Tutor ID
• Tutor email (The tutee address will automatically populate this field. Please be sure to change it to your email address so you receive a copy of the sheet.)
• Tutee Name
• Tutee ID
• Date
• Course (When tutoring a combination of Biol and Chem in the same session, enter CBIO)
• Number (When tutoring a combination of Biol and Chem in the same session, enter 100)
• Start Time
• End Time
• Prep – Course (eg. .5 = ½ hour)  If you are claiming hrs. for a session with 2 – 3 tutees, this time should appear on only one of the tutee’s forms.
• Prep – Tutee (eg. .1 = 6 minutes, .25 = 15 minutes)
• Total Time (eg. 1.7 = 1 hour and 42 minutes)

• Acknowledgement that information the tutee is submitting is correct.

If you tutor 1-3 tutees in the same session, each tutee must submit a standard contact sheet.

If a Standard Contact Sheet has been submitted with errors, either a revised contact sheet or individual emails from both the tutor and tutee describing the error must be sent to the Peer Tutor Coordinator.

The Group Contact Sheet is also a combination of contact sheet and time sheet.

• Only tutors who have the permission of the Peer Tutor Coordinator will fill out and submit this form.
• The form is only found on the Peer Tutor Dashboard.
• You will enter your hours in Datatel (SLU Portal) before the end of the pay period.

Here are the fields on the Group Contact Sheet with comments:

• Tutor Name
• Tutor email (A copy of the contact sheet will be sent to this email address and to the Peer Tutor Coordinator. The tutees will not get a copy of the sheet.)
• Date
• Course (e.g. nsci)
• Number (e.g. 288)
• Start Time
• End Time
• Prep Time
• Total Time
• Tutee Name (up to 10 tutees)

If a Group Contact Sheet has been submitted with errors, only the tutor submits a revised sheet or sends an email to the Peer Tutor Coordinator describing the error and correction.

Payroll Procedures

1. Tutors will use the Web Time Entry (see instructions on the Advising Dashboard) to manually record the hours you worked, based on the e-contact sheets your tutees submitted and were automatically emailed to you after each tutoring session. Payment will be approved if you complete the web entry on time and the hours correspond to the correct hours in the contact sheets.

All Datatel entries are due by 8 a.m. every other Monday, according to the Student Employment Payroll Calendar.

2. Standard Contact Sheet: 1 to 3 Tutees per Session

If you are tutoring one to three tutees per session, your tutees must each fill out a contact sheet. (You will be paid by the hour, not by the hour per student.)
If you tutor 2 or 3 tutees together, you are expected to put in .25 hours of prep time to structure the session, create exercises, etc., for each tutee. (If you tutor 3 tutees together, .5 hours of prep time is expected.)

3. Group Contact Sheet: 4+ Tutees per Session

If you are tutoring more than three tutees per session, only the tutor fills out and submits the contact sheet for the group. Group tutoring requires permission from the Coordinator; prep time, both for the session and to accommodate the group size, will be discussed at that time.

4. Back Pay

If you miss a payroll deadline, extra forms need to be filled out in various departments. Most everyone misses the deadline at some point, and if you work you should submit the time. On the Dashboard is a copy of the Back Pay Form, which is an Excel spreadsheet. Open it and save it. Fill it out, save it, and attach it to an email to the Peer Tutor Coordinator as soon as possible. Your hours will be submitted -- usually when we next process the next payroll.
